Data Protection Policy
The Charlton Kings Community Players (CKCP) is an amateur dramatics group based in Charlton Kings, Cheltenham. The CKCP takes data protection seriously and takes steps to safeguard any personal information it holds about its members.
What personal information do we hold and where is it held?
The CKCP holds the names and email addresses of the members of the mailing list. Consent is sought from the member before the information is stored in the CKCP Googlemail Contact Group. Access to the Contact Group is protected by a strong password which is only held by the Officers of the Players and the committee member responsible for administration of the Gmail group and the website. The list will be accessed using devices with a firewall and anti-virus protection. If a member of the CKCP is under 18 years of age, his/her email address will not be held, and the email address of the parent/guardian will be used to contact the member.
What is the information used for?
The information is held to enable the CKCP to inform the mailing list of the organisation’s activities, notices of meetings, auditions and play readings, and to inform them about the activities of other local community groups. When members of the mailing list are sent an email, the ‘BCC’ function will be used to safeguard email addresses.
A record is kept of the emails sent to the membership.
Right of access to personal information
A member of the mailing list has the right to request a copy of the personal information held about him/her and to ask for that information to be corrected or removed. Requests for copies of personal data will be supplied within the statutory one month of the request being made. Members of the mailing list can, at any time, ask for their information to be removed by clicking on the ‘Unsubscribe’ button on the website or emailing the CKCP using the contact form on the website.
Sharing information with other parties
The CKCP will not pass on personal information to other parties without the express permission of the persons involved.
